Standard 3.4: Monitor resource allocations

Formative - Program leadership, program partners, and all stakeholders monitor resource allocations on a regular basis in order to make necessary adjustments as needed during the year.

Program leadership should establish a record-keeping system to document costs. For example, if mentor professional development is a priority, then program leaders should track those expenditures as the year progresses, rather than waiting until after the year ends when information can be more difficult to collect.

Program coordinators should follow program procedures and ensure that correct forms and account numbers are being used. Depending on the program structure, a business manager, a bookkeeper, or a building secretary who has expertise in this area can be an excellent ally in getting this process started and for monitoring progress on spending as the year progresses.
